Policies
I. General Accommodation Terms
Services Included in the Rate
The accommodation rate includes:
Overnight accommodation
Continental breakfast
Wi-Fi internet access
Internet speed may vary depending on weather conditions.In-room safe
Bathroom amenities
Satellite television
Private balcony
Services Not Included in the Rate
The accommodation rate does not include:
Laundry service
Minibar consumption
Lunch or dinner
Local or international telephone calls
Activities
Any other service not specifically included in the confirmed rate
Children and Additional Guests
Children under 6 years of age stay free of charge when sharing a room with a paying adult and using the existing bedding.
Children 6 years of age and older, as well as additional adults, are subject to an additional nightly charge.
Continental breakfast is included in the additional guest charge.
Maximum Occupancy
For the comfort and safety of our guests, rooms and cabins may accommodate between one and four guests, depending on the size and configuration of the accommodation selected.
Reservation Guarantee
To guarantee a reservation, guests must pay 100% of the first night’s accommodation, according to the selected accommodation plan and applicable seasonal payment conditions.
II. Check-In and Check-Out
Check-In
Rooms and cabins are available from 3:00 p.m.
Early check-in is subject to availability and may incur an additional charge.
Check-Out
Check-out time is 12:00 noon.
Guests who remain in the accommodation after 12:00 noon without prior authorization from hotel management will be charged:
$30.00 for a room
$60.00 for a cabin
After 2:00 p.m., the equivalent of one additional night will be charged. Late check-out is subject to availability.
III. Identification Requirements for Minors
In accordance with Law No. 14 of 2009, concerning the comprehensive protection of the rights of children and adolescents, identification documents must be presented at check-in for every minor staying at the hotel.
When a minor is not traveling with their parent or legal guardian, the accompanying adults must present written authorization from the minor’s parents. This document must be properly signed and authenticated.
IV. Non-Smoking Policy
In accordance with Law No. 13 of January 24, 2008, smoking is prohibited in all:
Rooms
Cabins
Reception areas
Restaurant areas
If evidence of smoking is found inside a room or cabin, a $250.00 cleaning fee will be charged to the guest’s credit card.
V. Pet Policy
Pets are not permitted under any circumstances.
Guests who violate this policy may be required to leave the property immediately and will not be entitled to a refund.
A cleaning fee equivalent to 100% of one night’s accommodation will also be charged to the guest’s credit card.
VI. Noise Policy
To preserve a peaceful environment for all guests, excessive noise is not permitted after 9:00 p.m.
This includes:
Loud music
Loud conversations
Any other noise that may interfere with the comfort or rest of other guests
This policy applies particularly to outdoor areas surrounding the rooms and cabins.
Failure to comply may result in the immediate cancellation of the reservation without refund. Guests may also be required to leave the property immediately.
VII. Damage to the Property
Guests are responsible for any damage caused to rooms, cabins, furnishings, equipment, or any other area of the property.
The cost of repairing or replacing damaged items will be charged to the guest’s credit card.
VIII. Room and Cabin Keys
A $20.00 replacement fee will be charged if a room or cabin key is lost or damaged.
PAYMENT AND RESERVATION POLICIES
IX. Payments and Confirmations
Payments for accommodation reservations may be made using the following methods:
Cash
Bank transfer or ACH
Yappy
Visa or Mastercard credit card authorization
All reservations must be guaranteed using one of the accepted payment methods. The required payment must be made under the guest’s name and in accordance with the applicable rate and seasonal payment schedule.
Tree Trek Boquete Adventure Park is not obligated to hold an accommodation that has not been properly guaranteed.
Depending on the type of reservation and the season, payment for one night or the full stay may be required between 7 and 30 days before arrival.
Green Season
May through October
Payment for at least one night is required no later than 7 days before arrival.
High Season
November through April
Full payment for the reservation is required no later than 15 days before arrival.
Holidays and Special Dates
Special dates include, but are not limited to:
Panama’s national holidays
Mother’s Day
Christmas
New Year’s
Local fairs
Carnival
Holy Week
School holidays
Other public holidays or high-demand periods
A deposit of 50% of the total reservation is required at least 30 days before arrival. The remaining 50% must be paid no later than 15 days before arrival.
Reservation Confirmation
Only reservations confirmed in writing by the hotel via email will be considered valid.
A room or cabin is not considered reserved until the required payment has been received and an official confirmation has been issued by Tree Trek Boquete Adventure Park.
CANCELLATION AND REFUND POLICIES
X. Cancellations and Date Changes
All cancellations, refunds, and date-change requests are subject to approval according to the type of reservation and the applicable season.
All date changes are subject to availability and to the same conditions and deadlines that apply to cancellations.
Green Season
May through October
Changes or cancellations must be requested at least 7 days before the scheduled arrival date.
Guests must provide their reservation confirmation number when submitting the request.
Cancellations made at least 7 days before arrival are eligible for a 100% refund.
Cancellations made within 6 days of arrival are considered last-minute cancellations and are non-refundable.
High Season and Holidays
November through April and special dates
The following conditions apply:
Cancellations made between 20 and 30 days or more before arrival are eligible for a 100% refund.
Cancellations made between 15 and 20 days before arrival are eligible for a 50% refund.
Cancellations made within 14 days of arrival are considered last-minute cancellations and are non-refundable.
Same-Day Reservations
Reservations made and paid for on the same day as the scheduled stay cannot be changed or canceled.
Failure to arrive will be treated as a no-show, and the full amount paid will be retained.
No-Show Policy
A reservation will be considered a no-show when:
The guest does not request a cancellation or date change within the applicable deadline; or
The guest does not arrive on the confirmed arrival date
In the event of a no-show, the total amount of the reservation will be charged and no refund will be issued.
Exceptional Circumstances
Date changes may be permitted without an additional change fee when the request is properly supported by documentation and is due to:
The death or illness of a guest included in the reservation
The death or illness of the guest’s spouse or domestic partner
The death or illness of a relative up to the second degree of consanguinity
The death or illness of a relative within the first degree of affinity
The death or illness of a relative within the first civil degree
Approval remains subject to review by Tree Trek Boquete Adventure Park.
COVID-19-Related Cancellations
COVID-19-related cancellation requests must be submitted within 24 hours, together with supporting documentation confirming that the reservation holder has tested positive.
All required documentation must be submitted within the following 7 days for verification.
Once the documentation has been reviewed and approved, the guest may request a credit note for the amount previously paid. The credit may be applied toward a future reservation.
XI. Refund Processing
Refunds approved by Tree Trek Boquete Adventure Park will be processed within 7 to 10 business days after the guest completes and submits the required refund form.
By confirming a reservation, the guest acknowledges that they have read, understood, and accepted the accommodation, payment, cancellation, and property policies established by Tree Trek Boquete Adventure Park.
